Job Purpose

The Head of Administration and Finance at Citycot University will oversee the strategic and operational management of financial and administrative functions to ensure fiscal health, regulatory compliance, and efficient resource allocation. This role supports the university’s mission by driving sustainable growth, maintaining financial integrity, and optimizing administrative processes.

Key Duties and Responsibilities:

  1. Financial Planning & Budgeting:
  • Develop and manage annual budgets, forecasts, and financial plans aligned with institutional goals.
  • Monitor budget performance and adjust allocations to address evolving priorities.
  1. Financial Reporting & Compliance:
  • Prepare accurate financial statements, audit reports, and compliance documentation.
  • Ensure adherence to local laws, tax regulations, and international accounting standards.
  1. Strategic Financial Leadership:
  • Partner with senior leadership to design financial strategies supporting long-term objectives.
  • Advise on investments, cost optimization, and revenue generation opportunities.
  1. Administrative Operations Management:
  • Oversee day-to-day administrative functions (facilities management, procurement, IT systems).
  • Ensure operational efficiency and alignment with academic/administrative workflows
  1. Human Resources Management:
  • Supervise HR functions (payroll, benefits, staff development).
  • Foster a collaborative work environment and ensure labor law compliance.
  1. Risk Management & Internal Controls:
  • Implement financial controls to safeguard assets and mitigate risks.
  • Conduct regular audits and address compliance gaps proactively.
  1. Financial Systems & Technology:
  • Administer financial software/databases for accuracy and accessibility.
  • Lead upgrades to enhance reporting/analysis capabilities.
  1. Policy Development:
  • Establish/enforce policies for financial management, procurement, and operations.
  • Ensure transparency and accountability.
  1. Stakeholder Engagement:
  • Act as primary liaison to the Board, audit committees, and external partners.
  • Communicate financial performance and strategic initiatives to stakeholders.
  1. Team Leadership:
  • Lead/mentor finance and administrative teams to achieve departmental objectives.
  • Promote professional development and cross-departmental collaboration.
  1. Tax Compliance & Financial Governance:
  • Ensure timely tax filings and adherence to fiscal regulations.
  • Monitor changes in tax laws and adjust strategies.
  1. Cost Accounting & Financial Analysis:
  • Oversee cost accounting for institutional projects (facilities, programs).
  • Provide data-driven insights to optimize resource allocation.
  1. Day-to-Day Financial Management:
  • Supervise cash flow management, bookkeeping, and expense tracking.
  • Resolve financial discrepancies and ensure timely reporting.
  1. Financial Analysis & Reporting:
  • Generate monthly/annual financial reports and variance analyses.
  • Present findings to senior leadership to inform decision-making.
  1. Audit Coordination:
  • Coordinate internal/external audits and ensure readiness/compliance.
  • Implement audit recommendations to strengthen financial practices.
